My checklist now includes:

- Sample policy: Can you order a sample lot first? Most reputable suppliers—including Hanwha—offer sample programs. In my experience, testing 5-10 kg before a full production run is money well spent.
- Testing and certification fees: If you need RoHS, REACH, or UL certification documentation, ask upfront. Some suppliers include it. Others charge extra.

For every shipment of PTFE, silicone, or any engineering plastic, I now request:

- Chain of custody documentation: Where the raw material originated.
- Shelf life and storage conditions: Some materials degrade if stored improperly. Silicone, for example, has a shelf life that varies by formulation.

Step 5: Establish a Communication Cadence—Before You Need It
Here's the one most people forget: you need a communication protocol before an order, not after.
When something goes wrong—a shipment delay, a quality issue, a price change—the worst time to figure out who to contact is when you're already panicking.
My approach:
- Get a direct contact: Not a general inbox. A person. If you're ordering from Hanwha, ask for a dedicated account manager or customer service rep.
- Define escalation paths: "If I have a quality issue, who do I call? If it's a logistics issue, who do I call? If it's a billing issue, who do I call?"
- Set a regular check-in: For ongoing orders, a 15-minute check-in every 2 weeks keeps everyone aligned. It sounds basic, but it works.
I've found that an informed customer asks better questions and makes faster decisions. I'd rather spend 10 minutes clarifying the process upfront than deal with mismatched expectations later.
Final Note: The Order Isn't Done Until the Material Passes Inspection
Don't close the purchase order the moment the truck arrives. The order is done when your receiving team has inspected the material, matched it to the CoA, and signed off.
The surprise isn't the price difference. It's how much hidden value comes from a supplier who provides clear documentation and responsive support. That matters more than a few cents per kilogram.
